Overview:

The Workplace team plays a crucial role in overseeing administrative operations, maintaining a productive office environment and supporting day-to-day activities of the organization. As we are scaling the team to support our move to a new office in Heidelberg at the end of 2024, we are on the lookout for additional team member for our Workplace team.

Your responsibilities:

  • Office: Oversee general office administration, including mail distribution, office supplies management, vendor relations, and maintenance of office equipment.

  • Facilities Management: Coordinate office logistics, facility maintenance, cleaning services, and workspace organization to create a safe, clean, and efficient office environment.

  • Scheduling and Coordination: Manage calendars, schedule meetings, arrange appointments, and coordinate travel arrangements for employees and executives.

  • Communication: Serve as a point of contact for internal and external communications, greet visitors, respond to inquiries, and facilitate effective communication within the office.

  • Budget Management: Assist in budget planning, expense tracking, and resource allocation for office operations to ensure cost-effective management of office resources.

  • Event Planning: Organize company events, team-building activities, meetings, and conferences, ensuring seamless coordination and successful execution.

  • Bookkeeping: Handle the preparation and management of invoices and collect receipts and invoices, ensuring our accounting process runs like clockwork.

  • Feel-Good Support: Contribute to creating a positive and supportive office environment.

Your profile:

  • Proven experience in office management, administration, or a related field.

  • Strong organizational skills, attention to detail, and the ability to multitask effectively.

  • Excellent communication, interpersonal, and problem-solving abilities.

  • Proficiency in Microsoft Office Suite and office management software.

  • Ability to work independently, prioritize tasks, and adapt to a fast-paced environment.

  • Proactive attitude, resourcefulness, and a willingness to take on new challenges.
